Learn how to set up and manage the Online Check-in feature on Holidu. This comprehensive guide walks you through registration with local authorities, property connection, guest management, and troubleshooting to ensure compliance with regional regulations.
1. Registration with the Responsible Government Portal
Before activating the Online Check-in feature in your Holidu account, you must register your accommodation with the relevant local authority. The process varies by country and region. Below is a complete list of supported countries and regions with direct links to their registration portals and Holidu setup guides.
| Region | Authority | Registration Link | Holidu Setup Guide |
|---|---|---|---|
| Spain (except Catalonia and Basque Country) | SES.Hospedajes | SES.Hospedajes Portal | How to Connect to SES.Hospedajes |
| Catalonia, Spain | Mossos d'Esquadra | Mossos d'Esquadra Portal | Connect to Mossos d'Esquadra |
| Basque Country, Spain | Ertzaintza | Ertzaintza Portal | Connect to Ertzaintza |
| Portugal | SIBA | SIBA Portal | Online Guest Registration with SIBA and Holidu FAQs |
| Germany | AVS | Contact your local registration office | How to Connect Your Property to AVS (Germany) |
| Italy | Alloggiati Web | Contact your local registration office | Guest Check-in Feature in Italy | Statistical Reporting in Italy |
Once you complete registration with your local authority, you will receive credentials including a username, password, and sometimes a renter or accommodation code. You will enter these credentials in your Holidu account in the next step. Keep these credentials secure and separate from your Holidu login information.
2. How to Connect Your Property to the Authority Using the Online Check-in Feature
Follow these steps to connect your property to your local authority through the Holidu Online Check-in feature:
Step 1: Access the Online Check-in Tool
From your Holidu app, navigate to the left side menu, click on "Tools," and select "Online Check-in."
Step 2: Select Your Property
You will see a list of your properties. Click the "Configure" button next to the property you want to connect to your local authority.
Step 3: View Connection Status
A screen will display all your properties along with the connection status for each one. Click on the specific property you want to connect.
Step 4: Complete the Property Details Form
Fill out the form with the details of the country where your property is located. Ensure all mandatory fields are completed accurately.
Step 5: Activate Automatic Sending to the Authority
Scroll down and click on "Activate automatic sending to police." Select the correct authority from the dropdown menu, then enter your username, password, and all required credentials provided by the authority.
Important: Do not use your Holidu login credentials here. Enter only the credentials you received from your local authority.
Step 6: Validate Your Credentials
Click the "Validate" button to verify that your credentials are correct and the connection can be established.
Step 7: Save Changes
Once validation is successful, click "Save changes" at the end of the form. If no error message appears, your property is now connected to the responsible authority.
Important Tips to Avoid Connection Errors
- Use the correct host fiscal code (your ID number or NIE if you are not Spanish)
- Enter your full ID or NIE number, including all leading zeros
- Use only the login credentials provided by your local authority, not your Holidu credentials
- Verify that your property address matches the registration with the authority
You can now close the form and confirm that the connection is active by viewing the updated status.
3. How Does the Online Check-in Feature Work?
Once your property is successfully connected to your local authority, the system operates automatically to collect and submit guest information on your behalf.
3.1 The Guest Check-in Process
Here is what your guests will experience from booking to check-in:
Step 1: Guest Receives Check-in Link
After a guest books your property, they receive an email or message containing a secure link to the online check-in form.
Step 2: Guest Completes the Form
The guest fills out required details for all travelers, including document scanning (passport or ID). This information must be completed for every person traveling with them.
Step 3: Data Submission and Storage
Once the guest submits the form, their data is securely stored in the system.
Step 4: Automatic Reminders
If a guest does not complete the check-in form, automatic reminders are sent to them. If they still do not comply, you have the option to fill out the data on their behalf manually.
Step 5: Automatic Data Transfer to Authorities
At 11:00 PM on the day of check-in, all guest data is automatically submitted to your local authority's system. No additional action is required from you.
3.2 How to Read the Status in the Booking Section
In your Holidu booking details, the status for each booking indicates the progress and completion of the check-in process:
Status: Data Started but Incomplete
Your guests have begun the check-in process but have not completed all required information for every traveler. The status will remain incomplete until all guests in the party have submitted their details.
Status: Guest Data Complete but Not Yet Transferred
All guest information has been submitted and is complete, but the check-in date is in the future. The data will be automatically transferred to the authority at 11:00 PM on the day of check-in.
Status: Guest Data Successfully Transferred to the Authority
Guest data has been successfully transmitted to your local authority. Compliance has been completed for this booking.
Status: Error in Data Transfer
An error occurred while attempting to transfer the data to the authority. See the troubleshooting section below for guidance on how to resolve this issue.
3.3 Troubleshooting Common Issues
| Issue | Solution |
|---|---|
| Data is incomplete or missing from guest submissions | Contact your guests directly to complete the form, or fill it in manually on their behalf. Note that guests receive automatic reminders 5 days before check-in with a link to the check-in form. |
| Error message appears during data transfer to authorities | Verify that the credentials you entered in your Holidu account are correct and match those provided by your local authority. If credentials are correct and the error persists, contact Holidu support for assistance. |
| Connection to authority is not established | Ensure you have registered with the correct authority for your property location. Double-check that your fiscal code and ID number are entered correctly, including all leading zeros. Review the specific setup guide for your region. |
| Guest received no check-in link | Check that the guest's email address is correct in the booking. Resend the link manually or remind the guest to check their spam folder. You can also manually fill in guest data on their behalf. |
4. How to Download the Guest Book
You can download guest information in a guest book format for your records or compliance documentation:
Step 1: Access the Online Check-in Feature
Go to the Online Check-in feature in your Holidu account.
Step 2: Select Your Property
Next to the property for which you want to download the guest book, click on "Details."
Step 3: Download Guest Records

The downloaded file will contain complete guest information including names, document details, and check-in dates for your records.
5. How to Manually Fill Out Guest Data
If a guest has not completed their check-in form or you need to correct information, you can manually enter or update guest data:
Step 1: Access the Bookings Tab
Navigate to the Online Check-in section and click on the "Bookings" tab.
Step 2: View Your Bookings List
You will see a list of all bookings identified by the name of the main guest. A column will display the status of the guest data and the transfer to authorities.
Step 3: Understand the Status Icons
Click "Status info" to view the meaning of each status icon and color. This will help you quickly identify which bookings require attention.
